A monthly report layout for a company managing a privately owned boat in a Panama charter programme. The manager fills it in and the owner checks it against bookings, manifests and invoices. Have the booking calendar, the month's SENAN manifests, the fuel log, facturas and the management agreement's revenue and expense clauses ready.
Fill in the fields below, then print the worksheet or download your entries as a text file. Entries stay on this page until you leave unless you download them. Don’t enter passport, card or medical details; keep copies of those separately.
How to fill it in
The manager fills in every line, even with "none this month". The owner ticks each figure against an attachment: manifest, fuel log, factura or bank statement. Anything without an attachment is a question to ask.
Matching trips to income
- Manifests. Every paid trip should have a SENAN passenger manifest. Ask for copies. Comparing trip count, dates and guest numbers with the income is the simplest audit an owner can do.
- Gross. Use the definition in your management agreement. The main questions are whether ITBMS, tips, platform commissions and add-ons count. Charter and tour services carry 7% ITBMS, normally collected by whoever invoices the guest.
- Discounts. If the manager discounted your boat or moved guests from another boat in its fleet, the report should say so.
Costs and maintenance
- Ask for a factura showing the provider's RUC and ITBMS for every cost over a small amount. A WhatsApp message is not a record a buyer or insurer will trust.
- Crew costs include CSS contributions and the décimo tercer mes accrual, not just wages.
- Panama's warm Pacific water grows bottom fast. Diver cleaning dates and zinc condition tell you whether the hull is being looked after between haul-outs. See maintenance in the tropics.
- Repairs above the approval limit in your agreement need your written approval, with an emergency exception. Put the approval reference on the report.
Compliance dates
- The boat's AMP registration and inspection, the charter permit, the insurance and every crew licence each have an expiry date. One lapsed document can stop the boat working, so list the dates every month.
- Charter use needs a charter policy. A yacht in the J.D. 089-2020 service needs cover for the listed risks; see charter insurance and liability.
Tax
Charter income earned in Panama is Panamanian-source. How your share is taxed depends on whether you hold the boat personally or through a company. Send the report to your accountant each month, not just at year end.
